How to Create and Manage Reviews - for Admins

Performance reviews are key for tracking performance. Learn more about launching and managing review cycles in Breezy Perform.

As an admin, you can create and manage review cycles for your company. You can use Breezy’s basic review template as is, clone it and tweak the settings to suit your company’s needs, or create your own with a template or from scratch.


The basic review cycle template

Breezy Perform offers a template to simplify launching a review cycle. You can find it in your admin options by clicking the gear icon in the left sidebar.

By default, it requires:

  1. Employees to evaluate themselves by answering 4 questions:

    1. Describe the work or contributions you are most proud of in this review period.

    2. What are 2-3 ways you want to grow professionally or personally?

    3. Which of our company values did you live best in the last few months?

    4. What project/goal(s) would you like to focus on in the next quarter/six months/year?

  2. Managers to evaluate the employee’s performance by answering 4 questions:

    1. Describe a meaningful contribution this employee has made since the last review.

    2. Which company value(s) have you seen this employee demonstrating well in the last few months?

    3. What are some areas of focus/values that could benefit this employee?

    4. What are some positive interactions you’ve noticed between this employee and others?

  3. Both employees and managers to rate the employee’s performance against active goals owned by the employee and the department using a 4-point scale:

    1. Opportunities to Improve

    2. Consistently Meets Expectations

    3. Often Exceeds Expectations

    4. Almost Always Exceeds Expectations


How to create or clone a review cycle

Admins can create a new review or clone an existing one in their Perform Preferences.

To create a new review with a template or from scratch:

  1. Click the gear icon in the left sidebar.

  2. Click Review Settings.

  3. Click Create New in the top-right corner of the window.

  4. Choose Basic Template or No Template in Step 1.

  5. Enter a title and customize the review’s settings in Step 2.

  6. Click Next to proceed to Step 3 to create or edit questions for the review.

    1. Click Add Question and follow the prompts to create a question, select response types, and set other options.

    2. Click Finish Question to complete a question and Add Question to create another. As you finish questions, your progress will be saved automatically.

  7. Click Next to proceed to Step 4 to set participants for the review.

  8. Customize filters to choose who will participate in the review.

  9. Click Launch if you’re ready to make the review available to employees.

  10. Customize your Kick-off email message if you’d like to announce the review cycle to participants.

If you’re not ready to set your review live, you can return later to make changes and launch when you’re finished. Once it’s launched, your review will be available to the employees who meet the criteria you set in Step 4. If you opt to send a kick-off email, all participants will receive an email with the message you included.

If you already have a review that gives you a good starting point, you can save a few steps by cloning it.

To clone a review:

  1. Click the gear icon in the left sidebar.

  2. Click Review Settings.

  3. Find the correct review on the list and click the More icon (ellipsis) on the right-hand side.

  4. Choose Clone from the list.

A new review will be created with the same settings, questions, and participants as the one you cloned. Just customize each section as needed and launch the review when you’re ready!


How to edit or delete a review cycle

Admins can edit or delete reviews in their admin options.

To edit a review cycle:

  1. Click the gear icon in the left sidebar.

  2. Click Review Settings.

  3. Find the correct review on the list and click the More icon (ellipsis) on the right-hand side.

  4. Choose Edit from the list.

  5. Make changes as needed. Hover over review questions to see options to edit, reorder, copy, delete, or lock each question.

  6. Click Launch to launch a review that’s in draft status. Click Publish to update a review that’s already been launched.

Note: For reviews that have already been launched, employees won’t be notified of changes.

To delete a review:

  1. Click the gear icon in the left sidebar.

  2. Click Review Settings.

  3. Find the correct review on the list and click the More icon (ellipsis) on the right-hand side.

  4. Choose Delete from the list.

  5. Click Delete Review to confirm.

Note: Deleting a review cycle is permanent and can’t be undone. All the feedback that was collected during the review cycle will be removed and won’t be available to employees.


How to launch a review cycle

Admins can launch a review that’s in draft status from the edit view.

To launch a saved review cycle:

  1. Click the gear icon in the left sidebar.

  2. Click Review Settings.

  3. Find the correct review on the list and click the More icon (ellipsis) on the right-hand side.

  4. Choose Edit from the list.

  5. Make changes if needed and advance to Step 4: Participants near the top of the window.

  6. Click Launch in the bottom-right corner.

  7. Customize your Kick-off email message if you’d like to announce the review cycle to participants.

Launching makes the review available to participants, and if you opt to send a kick-off email, they’ll receive an email with the message you included.

If you’d like to skip the kick-off email for now and send it later:

  1. Click the gear icon in the left sidebar.

  2. Click Review Settings.

  3. Find the correct review on the list and click the More icon (ellipsis) on the right-hand side.

  4. Choose Manage from the list.

  5. Click the More icon (ellipsis) in the top-right corner of the window.

  6. Choose Send Kick-off Email from the list.

  7. Select All Participants or Specific Employees from the dropdown to choose recipients.

  8. Enter a custom message for your email, if you like.

  9. Click Preview to view the email message.

  10. Click Send to send the kick-off email to the employees you selected.

How to manage a review cycle

After a review has been launched, admins can monitor how participants are progressing through the cycle, take action where people are getting stuck, and close the cycle.

To manage review cycles:

  1. Click the gear icon in the left sidebar.

  2. Click Review Settings.

  3. Find the correct review on the list and click the More icon (ellipsis) on the right-hand side.

  4. Choose Manage from the list.

From the top of the window, you can:

  • Switch between review cycles

  • Send a kick-off email to announce the review cycle

  • Export review results as PDFs

  • Edit the review

  • Close the review

From the Progress by Step section, you can:

  • Check the progress of each step in the review process

  • Send emails to nudge employees to complete any of the steps

From the employee progress section, you can check, for each participant:

  • Their status in the review cycle

  • Which reviews are pending

  • Which reviewers have completed their review

  • The review report, including report preview, delivery and retraction
